Article 1 – Applicability
1.1 These general terms and conditions apply to every reservation, booking, and stay of guests at Hotel Monika, located in Zutendaal.
1.2 By making a booking, the guest acknowledges having read and agreed to these general terms and conditions and the house rules of Hotel Monika.
1.3 These terms and conditions may be amended from time to time. The version applicable at the time of booking applies to the stay.
Article 2 – Reservations & Rates
2.1 The rates and services offered by Hotel Monika are determined by management and published via official channels (website, booking systems, etc.).
2.2 Published rates are subject to availability and may be changed at any time.
2.3 Once a reservation is confirmed, the agreed rates and conditions at the time of booking remain applicable.
2.4 A reservation is only final after confirmation by Hotel Monika.
2.5 Check-in is possible between 15:00 and 21:00. After 21:00, check-in may be refused and the reservation considered a no-show. In such cases, the full amount will be charged.
Article 3 – Check-in and Check-out
3.1 Check-in is possible from 15:00 to 21:00.
3.2 Check-out must take place by 10:30 on the day of departure.
3.3 A surcharge may be charged for late check-out.
3.4 At check-in, each guest is required to present a valid ID and a valid credit card.
3.5 Persons under 18 may only stay when accompanied by an adult or with prior explicit approval from reception.
Article 4 – Liability
4.1 Hotel Monika is not liable for loss, theft, or damage to guests’ personal property.
4.2 Management and staff cannot be held liable for physical, material, or immaterial damage suffered during the stay.
4.3 Damage to hotel property caused intentionally or through negligence will be charged to the guest.
Article 5 – Conduct & House Rules
5.1 Guests must comply with the house rules of Hotel Monika.
5.2 Any form of nuisance (e.g., loud behavior, aggression, loud music) is prohibited.
5.3 Smoking is not allowed in the rooms or inside the building. A fine of €150 will be charged in case of violation, as well as any costs related to fire alarm activation.
5.4 The following are not allowed:
• Unjustified use of emergency exits;
• Using the room with more persons than reserved;
• Covering or disabling smoke detectors;
• Applying own decorations like confetti without permission;
• Lighting open flames (candles, incense) in the room.
Article 6 – Safety & Surveillance
6.1 In case of a fire alarm, the building must be evacuated immediately.
6.2 The hotel is equipped with CCTV surveillance. Guests agree to recordings being made. These may serve as evidence in case of incidents.
6.3 Staff may conduct bag checks if a violation is suspected. Refusal may result in immediate denial of access.
6.4 In emergencies, all instructions from staff must be strictly followed.
Article 7 – Zero Tolerance
7.1 Hotel Monika enforces a zero tolerance policy.
7.2 Violation of house rules results in immediate removal without refund of accommodation fees or deposit.
7.3 No prior warning is required in case of serious violations.
Article 8 – Pets
8.1 Pets are not allowed in the rooms or restaurant of Hotel Monika.
Article 9 – Cancellation and No-show
9.1 Cancellation conditions are stated during the booking process.
9.2 In case of a no-show, 100% of the total booked amount will be charged, including accommodation, breakfast, and any reserved extras or services.
9.3 Conditions may vary depending on the rate type (e.g., non-refundable rate).
Article 10 – Payment and Deposit
10.1 All accommodation costs must be paid in advance or at the latest upon arrival.
10.2 The hotel may request a deposit via credit card pre-authorization or cash payment.
10.3 Additional charges (such as smoking fines, damage, extra cleaning, or late check-out) will be settled upon departure or via the deposit.
10.4 Access to the room may be denied in case of refusal to pay or lack of a valid credit card.
Article 11 – Privacy and Data Processing
11.1 Hotel Monika processes personal data in accordance with the General Data Protection Regulation (GDPR).
11.2 Personal data is used solely for reservation, communication, invoicing, and – if consent is given – marketing.
11.3 Data will not be shared with third parties unless legally required or necessary in case of incidents.
11.4 The full privacy policy is available at the reception or upon request.
Article 12 – Force Majeure
12.1 In the event of force majeure (such as pandemics, natural disasters, government measures, power outages, or strikes), Hotel Monika is not liable for failure or partial fulfillment of its obligations.
12.2 In such cases, the hotel may reschedule, adjust, or cancel the reservation free of charge without being liable for compensation.
Article 13 – Complaints
13.1 Complaints must be reported to reception as soon as possible so that a solution can be sought.
13.2 Complaints submitted only after departure can only be handled if submitted in writing within 7 days of departure.

Article 14 – Applicable Law
14.1 Belgian law applies to these general terms and all resulting disputes.
14.2 Disputes will preferably be settled amicably. If necessary, they will be submitted to the competent court in the district of Limburg.
